Getting Started

What is KatchT HQ?

KatchT HQ is a marketing operations platform built for event and field marketing teams. It gives you a shared workspace to plan campaigns and trade shows, track deliverables, capture leads, and measure cost per lead — all in one place without spreadsheet chaos.

How do I create my first board?

Click the + icon in the left sidebar. Choose "Blank board" to start empty, or pick the Tradeshow or Marketing Campaign template — these pre-build your category sections and tasks dated around your event or launch date.

What is a system template?

System templates (Tradeshow, Marketing Campaign) are built-in board structures that scaffold your campaigns and events automatically. They're free on every plan. On Pro and Business you can also save any of your own boards as a custom template for future use.

What's the difference between a Campaign row and an Event row?

Campaigns are marketing pushes — email series, ad campaigns, product launches. Events are physical or virtual gatherings — trade shows, webinars, field events. Both carry their own budget, sponsorship cost, and lead count fields. The calendar color-codes them differently: campaign bars are filled, event bars are outlined.

Boards & Operations

How do I add deliverables to an event?

Right-click any campaign or event row and choose "Add deliverable" — or use the + Add row button at the bottom of the board. Deliverables sit one level below a campaign or event and carry their own owner, status, and due date.

How do I assign an owner to a task?

Click the Owner cell on any row and type a name. HQ stores it as a free-text field — no account required for the person being assigned.

How do I move a board between folders?

Drag the board in the left sidebar and drop it onto a folder. To move it back to "Unfiled," drag it above all folders.

How do custom board templates work?

Pro and Business users can save any board as a reusable template. On the New Board modal, click "Save current board as template" — it snapshots all rows and dates relative to your chosen show or launch date. Select it when creating any future board.

Can I undo an accidental delete?

Yes — press Ctrl+Z (or Cmd+Z on Mac) immediately after deleting a row or rows. The undo stack is per-session; closing the tab clears it.

Leads

How do I capture a lead in HQ?

Open the Leads section from the left nav. Click "Add lead," choose which event or campaign to attach it to, and fill in the contact details. You can also bulk-import from a CSV.

What fields does HQ capture per lead?

First name, last name, title, company, email, lead source, and a free-text note. The source field feeds the per-event source breakdown chart in Reports — use it to track where each lead came from (badge scan, demo, referral, booth visit, etc.).

How do I import leads from a CSV?

In the Leads section, click "Import CSV." Map your spreadsheet columns to HQ's fields, then assign all rows to an event or campaign. Leads are linked to that item and counted toward its cost-per-lead calculation automatically.

How does the KatchT Links connection work?

When someone clicks a trackable link you built in the KatchT Links extension, that click is logged in HQ's Links Inbox. You match those clicks to a board and they appear in your analytics. Find your connection token in Settings → KatchT Links.

Does HQ send any outreach to captured leads?

No. HQ is a capture and ops tool, not a CRM or email platform. It stores lead records so your team can see them, measure CPL, and hand them off to your outreach tool of choice.

Reports & Calendar

How is Cost per Lead calculated?

CPL = (Budget + Sponsorship Cost) ÷ Leads Captured. Both money fields live on the campaign/event row — click the panel icon on any campaign or event row to open the detail panel and set them. Leads are counted from records in the Leads module.

How do I export a branded recap?

On the Reports page, click "Print recap" (Pro and above). A KatchT-branded summary opens in a new tab — use your browser's Print → Save as PDF to export. It includes the KPI summary strip and a full board-by-board breakdown.

How do I sync my KatchT calendar to Outlook, Google, or Apple Calendar?

On the Calendar page, click the .ics button (Pro and above) to download a calendar file containing all your campaign and event date ranges plus deliverable due dates.
  • Outlook: File → Open & Export → Import/Export → Import iCalendar (.ics)
  • Google Calendar: Other calendars → Import
  • Apple Calendar: File → Import

What is the cross-event comparison table?

Available on Business. It's a single table in Reports that ranks every campaign and event across all your boards — total spend, leads captured, and cost per lead — so you can compare which events performed and which need a rethink.

Why does my CPL show — instead of a number?

CPL requires both a spend amount (budget or sponsorship cost) and at least one captured lead. If either is zero, HQ shows — rather than divide by zero. Open the detail panel on the event row to set a budget.

Account & Billing

What's included in each plan?

Free ($0): 1 board, 1 seat, system templates, basic budget roll-up.
Pro ($29/mo · $290/yr): Unlimited boards, 3 seats, custom board templates, Gantt view, iCal export, per-event CPL & source breakdown, branded recap export, unlimited Links ingest. Email support (2 business days).
Business ($79/mo · $790/yr): Everything in Pro + 10 seats, cross-event comparison table, scheduled report exports, priority email support (next business day), onboarding call.

How do I add team members?

In Settings → Team, invite teammates by email. Your plan determines the seat limit: 1 seat on Free, 3 on Pro, 10 on Business. Seats are per-organization, not per-board — any seat can access all boards.

Can I switch between monthly and annual billing?

Yes. Annual billing saves you two months compared to monthly. You can switch in Settings → Billing at any time — the change takes effect at your next renewal.

Can I cancel anytime?

Yes. Cancel any time from Settings → Billing. Your plan stays active until the end of the current billing period. We don't offer prorated refunds for partial months, but you'll never be charged after canceling.
